Position Overview

The Customer Service Representative is responsible for greeting clients, answering phones and electronic inquiries, scheduling appointments, and facilitating communication between clients and hospital staff. This role requires excellent communication skills, attention to detail, and a passion for delivering outstanding client service.

Key Responsibilities

Client Interaction & Front Desk Management

  • Greet clients and their pets warmly, creating a welcoming atmosphere.
  • Check clients in and out efficiently while ensuring all necessary paperwork is completed.
  • Answer phone calls, emails, and online inquiries in a professional and friendly manner.
  • Address client questions, concerns, and requests or direct them to the appropriate team member.

Appointment Scheduling & Coordination

  • Schedule and confirm appointments for routine check-ups, procedures, and follow-ups.
  • Maintain accurate client and patient records in the hospital management software.
  • Communicate any scheduling updates or changes to clients and staff.
  • Assist clients with understanding the hospital’s policies, services, and procedures.

Communication & Client Education

  • Provide clients with accurate information regarding services, pricing, and pet care.
  • Relay messages between clients and the veterinary team to ensure seamless care.
  • Help educate pet owners on preventative care, medication instructions, and post-visit procedures.

Administrative & Office Duties

  • Process payments, invoices, and financial transactions accurately.
  • Maintain cleanliness and organization of the front desk and reception area.
  • Assist with maintaining inventory of office supplies and client materials.
  • Ensure compliance with hospital policies and procedures regarding client interactions.

Qualifications

  • Prior experience in customer service, veterinary, or medical reception preferred.
  • Passion for animals and a desire to provide exceptional client service.
  • Strong verbal and written communication skills.
  • Ability to multitask, stay organized, and work in a fast-paced environment.
  • Comfortable using computers and veterinary software (or willing to learn).
  • Friendly, professional demeanor with a team-oriented attitude.

Physical Requirements

  • Ability to sit, stand, and move around the hospital for extended periods.
  • Occasionally lift up to 25 pounds.
  • Ability to handle occasional stressful situations with professionalism and patience.
